Its own directory lists 42 GPS and telematics partners it reads data from, and reviewers report that layer is the weak point. Gavin S. describes 'the telematics integration with our GPS provider, One Step GPS' as his 'biggest frustration', saying seamless syncing 'was presented as a key feature and a major selling point'. So if tracking is the job, buy the tracking vendor directly. Look at Azuga instead.
Don't buy it if you're A shop that needs QuickBooks to stay in sync without manual work and cannot fund development. There's no native accounting integration. The vendor's answer is exports plus 'API- or webhook-based integrations', and the API doesn't exist on the $4 Essential plan at all. So that means either recurring manual CSV imports or paying an integration partner on top of a Professional or Premium subscription. Look at Contractor Foreman instead.
Don't buy it if you're A seasonal contractor whose asset count swings hard between summer and winter. The vehicle Cap ratchets one way. 'Customer may request an increase in the Cap at any time during a Service Period, but Customer may not reduce the Cap during a Service Period,' and the help centre adds that you 'cannot downgrade it in Fleetio' outside a trial. So you'll pay peak-season pricing through the trough, with no refunds 'for months unused with an open account'.

And an annual prepay discount tells you an annual commitment exists, which is worth knowing before anyone mentions a term length out loud.
The Fleetio costs that show up later
Payment processing. Fleetio does not process homeowner or customer payments; it is a maintenance system, not an invoicing or payments platform. What it does run is AutoPay on your own subscription: 'You will pay fees via automatically processed payments ("AutoPay").' Disputing one of those charges is contractually fatal: 'We have a zero tolerance policy for chargebacks. If Customer disputes a credit card payment through a card issuer that is found to be valid, Customer will be permanently banned from the use of the Service.' Invoice disputes must be raised 'within sixty (60) days'. Late balances 'accrue late interest at the rate of 1.5 percent of the unpaid and undisputed amount per month or the maximum amount permitted by law, whichever is less.'
Implementation and onboarding. No implementation or onboarding fee is published. The pricing FAQ offers only self-serve materials: 'Free onboarding tools and training videos are available to help you get up and running quickly.' No paid professional-services SKU appears anywhere on the pricing page. Reviewers describe the real cost as time rather than money: Breanna G. writes 'It's alot to implement up front but it's worth it', and Donna L. reports 'It definitely took about a year to really hone it in on our needs and get the system tricked out'.
Minimum term. Professional and Premium are 'billed annually only', making 12 months the effective minimum on both. Essential can be taken monthly at $5 per vehicle, but switching it to annual is irreversible. Getting out. There is no mid-term exit and no partial refund. Auto-renewal. Automatic, with no stated advance-notice obligation on Fleetio's side: 'Your account will be renewed automatically at the end of each Service Period until either you or we explicitly cancel the Service, which you may do through the Account Settings screen, and we may do by delivery to your email on file with us, of notice of termination.' Price rises need only 30 days and may be announced inside the product rather than by email: 'We reserve the right to change prices for the Service and any connected extra services at any time upon a 30-day notice from us. Such notice may be provided at any time by posting the changes to the Service itself.'
Modules sold separately. , . But the entry tier is not the price you'll pay. Add the modules your shop needs on day one and compare Fleetio on that total.
A tangent, but stay with it. Fleetio's contract contains a worked arithmetic example of its own mid-term price increase, and the number it lands on is $5,027.32 on top of $10,000 already paid. Buying five more trucks mid-season doesn't add five trucks' worth of subscription. It can move you into a new band and trigger an immediate debit of the difference for the remainder of the term, charged to the card on file without a fresh signature. So contractors who grow in spring should model the band boundaries before they buy the trucks, not after.

Export-and-import, dressed as an integration Fleetio's accounting solution is CSV and XLSX exports, scheduled reports, custom fields for GL codes and cost centres, plus webhooks or API work for anyone who wants automation. It's a legitimate path. But it's a project rather than a toggle, and the entry plan has neither API nor webhooks.
Fleetio ships constantly, and long-tenured crews feel it The vendor treats release velocity as a selling point: 'We release small tweaks and bug fixes on a daily basis and larger updates every week or two.' But a two-year construction customer names that as the main cost: retraining, lost momentum and drivers who stop using the software after UI changes. A construction, 51-200 employees who reviewed it on 2026-04 describes it: "Often times update / upgrades do not make things better. They just make developers and sales folks feel happy that they got to change the UI. The new UI with everything sandwiched together is annoying. Every time there is an update it costs us with the down time to relearn and doesn't really add any benefits to us. Our drivers get frustrated and our mechanic team loses momentum. With guys like this, these kinds of changes really break our system. The frustration causes them not to use the software, and for us to have to do training and get buy-in over again. You need to keep things stable. Add but don't change. This is with all software though."

The Fleetio accounting link, and where it stops
QuickBooks Online connects, gated to a higher tier. SAP connects, gated to a higher tier. Any accounting or ERP system (generic path) connects one way only, so edits made in your books do not come back, gated to a higher tier. Your costs map through cost codes, so test yours against your own chart of accounts before you commit. A code your books don't recognise is how a labour charge quietly lands somewhere useless.
Past those, the road ends. QuickBooks Desktop / Xero / Sage / NetSuite, Field service management / CRM / estimating, Payroll and time tracking, Published integration total do not connect. So if your books run on an ERP rather than the platforms named above, weigh that before anything else.

And this is the kind of thing you only find by reading the complaints. Fleetio permanently owns the benchmark data derived from your fleet, and that data is explicitly exempt from deletion even though your own data can be wiped the moment you cancel. The asymmetry is the point. Your operating history is disposable on exit; the aggregate insight extracted from it is not. And Google Play's data-safety panel for Fleetio Go reinforces the direction of travel, listing 'Data can't be deleted'. So if your maintenance records have any evidentiary value in a liability claim, hold your own copy continuously rather than trusting you can retrieve it later.

Where Fleetio falls short
What follows came from reading the review corpus by complaint type rather than by star rating, which is how you find the disqualifying detail buried in a five-star review.
Work orders and purchase orders, the two things a contractor's shop runs on, are gated above the entry plan Fleetio's own pricing comparison table shows Work Orders absent from Essential and only 'Limited' on Professional, with Custom Work Order Status, Labor Clock In/Out, Parts & Labor Markup and 'Email Work Orders, Quotes, and Invoices' exclusive to Premium. And Purchase Orders, Inventory & Cost Reportings, Automatic Stock Adjustments and Low Stock Notifications are Premium only. So a contractor with an in-house mechanic who assumed $4 per vehicle buys a shop system is shopping at $10. So price your build at Premium ($10 per vehicle per month) if you run your own shop. Ask sales to confirm in writing which of work orders, POs, labour clock-in and parts markup are in the quote before signing.
Fleet size only ratchets up, never down, and the increase is charged mid-term Both the help centre and the contract say the vehicle band is a one-way door. Help centre: 'IMPORTANT: Once you select and confirm your fleet size upgrade, you cannot downgrade it in Fleetio. The only exception is for trial accounts that are still within the trial period.' Terms of Service: 'Customer may request an increase in the Cap at any time during a Service Period, but Customer may not reduce the Cap during a Service Period.' So seasonal contractors who scale a fleet up for a busy summer can't scale the bill back down when the trucks are parked. So buy the band you need today, not the band you hope to grow into, and never round up. Confirm at renewal whether the Cap resets for the new Service Period or carries over.
There's no native accounting integration, and the page that ranks for one says so only if you read the FAQ Fleetio's accounting page is titled 'Fleet Accounting and ERP Integrations - Connect to Quickbooks, SAP & More'. But the FAQ underneath never answers yes. Asked 'Does Fleetio offer a native QuickBooks integration?' the reply is that Fleetio 'supports accounting workflows for QuickBooks Online through structured exports, scheduled reports, and API- or webhook-based integrations.' The SAP answer is word-for-word the same with the name swapped. So in practice a contractor exports CSV or XLSX and imports it, or pays a developer to build against the API, which itself is unavailable on Essential. So assume manual export into QuickBooks. Budget bookkeeper hours per month, or price an integration partner, and don't let a demo imply a live two-way sync exists.
API and webhooks are locked out of Essential and rate-limited on Professional The pricing table shows API Access unavailable on Essential, 'Up to 50 requests per min' on Professional and 'Up to 250 requests per min' on Premium. And webhooks follow the same pattern: none, then 'Up to 10,000 events per 30 days', then Unlimited. Because the vendor's answer to every accounting and custom-reporting question is 'use the API or webhooks', the entry plan has no escape hatch at all, and the middle plan has a 10,000-event monthly ceiling that a busy fleet can reach. So if any integration matters, start at Professional minimum and model your monthly webhook event volume against the 10,000 ceiling before you commit to an annual term.

Don't buy Fleetio if you're A residential contractor with three to five trucks who wants one system for scheduling, quoting, invoicing and getting paid. Fleetio manages assets, not jobs and not customers. There's no estimating, no customer CRM, no homeowner invoicing and no dispatch board. The Play listing is explicit that it's a maintenance tool: 'Submit inspections (DVIR) and report issues directly from your phone'. And at five trucks the entire maintenance problem fits in a calendar reminder, so you'd still need a field-service platform alongside it. Look at Housecall Pro instead.
Don't buy Fleetio if you're A contractor whose actual requirement is live GPS tracking and driver-safety scoring. Fleetio is a consumer of telematics, not a provider of it. Its own directory lists 42 GPS and telematics partners it reads data from, and reviewers report that layer is the weak point. Not natively. The page that ranks for this question is titled 'Fleet Accounting and ERP Integrations - Connect to Quickbooks, SAP & More', but the FAQ underneath never says yes. It says Fleetio 'supports accounting workflows for QuickBooks Online through structured exports, scheduled reports, and API- or webhook-based integrations.' But in practice you export CSV or XLSX and import it, or you pay someone to build against the API. And that API isn't available on the Essential plan at all, while it's capped at 50 requests per minute on Professional.
Can I reduce my fleet size if I sell trucks?
Not during the term, and not through the product. The help centre says 'Once you select and confirm your fleet size upgrade, you cannot downgrade it in Fleetio.
