It sells to Restoration and Roofing contractors, and the shape of the product follows from that: Xactimate ships regional unit costs for '500+ geographic regions in the US and Canada' and updates them monthly, which is why an estimate written in it lands in a carrier's queue already speaking their language. But the EULA is blunt about who owns that: 'We own all Price Data provided with the Services. You must not transfer, copy, or publish Price Data in any form or format without our prior express written permission.' And Verisk also disclaims accuracy and calls the numbers 'a baseline or place to begin creation of an estimate', while reserving that it 'may not update every price every month.'

Ownership matters here more than it usually does. Xactimate is owned by Verisk Analytics, Inc. (product entity: Xactware Solutions, Inc., 1100 West Traverse Parkway, Lehi, Utah 84048), so weigh roadmap risk alongside the feature list. An independent product can be bought and folded into somebody else's plan two years after you sign.

Xactimate: right buyer, wrong buyer

Don't buy it if you're A roofing or remodeling contractor whose work is homeowner-direct retail, cash and finance, with little or no insurance claim volume. You'd be paying $2,390.00 to $2,690.00 a year per seat for a price database whose entire value is that carriers settle against it. Reviewers who drifted out of insurance work say it plainly: 'The cost is too much for the amount of times that I would use it. When I was doing insurance repair it was ok. Don't buy it if you're A shop that wants estimating, job management, scheduling and accounting in one system. Xactimate is an estimator, not an operating system for the business. Verisk's own partner directory lists 34 Xactimate integrations and not one of them is a direct accounting connection. The only accounting path in the whole Xactimate-filtered directory runs through a third-party job-management partner that carries its own QuickBooks Online link. So you'll be buying two products and paying for the seam between them. Look at AccuLynx instead.

Don't buy it if you're A Mac-only solo operator or a business that runs on iPads and Chromebooks. A reviewer reports the desktop edition being Windows-only and having to buy a separate computer or program to run it, with iPad mobile 'not helpful for everyone.' And buying a Windows machine to run a $2,690.00-a-year licence changes the real first-year cost by more than the Standard-to-Pro gap. Look at Encircle instead.

Don't buy it if you're A supplementing or estimate-writing service billing per estimate or on a volume-priced retainer. That's the exact shape the EULA's Estimate-as-a-Service clause prohibits without express permission in your Services Agreement, and Verisk reserves the right to monitor estimate volume and suspend access. So you'd be building a business on an unpermitted use, which is a business with a kill switch held by someone else.

Xactimate's price, and the part that isn't the price

Xactimate prints its numbers on its own site. Good. That means you can price your real configuration tonight instead of waiting on a rep.

There is a discount for paying annually up front: Committing to a year is worth roughly 36 percent. Twelve months of Xactimate Pro bought one month at a time costs $350.00 x 12 = $4,200.00, against a published 12-month price of $2,690.00. The 6-month Pro term at $1,725.00 works out to $287.50 a month, and the 3-month Pro term at $880.00 works out to $293.33 a month. Both figures in that comparison are list prices read off the storefront on 2026-08-07. And an annual prepay discount tells you an annual commitment exists, which is worth knowing before anyone mentions a term length out loud.

What a Xactimate quote leaves out

Payment processing. Xactimate is an estimating tool, not a payment rail, and neither the storefront nor the Xactware Store page mentions taking customer payments. If you want homeowner deposits or insurance proceeds collected in the same system, ask the rep which job-management partner they expect you to bolt on, and who charges the processing fee.

Implementation and onboarding. No implementation or onboarding fee appears on the storefront. Training is where the money goes instead, and it is split. The Xactware Store lists 'Unlimited access to 100+ hours of self-paced training. Diverse courses and materials included with your annual Xactimate subscription' as bundled, while 'In-person classroom training', 'Virtual classroom training', 'Xactimate User Certification' and 'Workbooks' are sold as separate purchases.

Minimum term. The shortest term on the storefront is one month, Pro edition only, at $350.00. The EULA sets twelve months as the default where nothing else is agreed: 'The "Term" of this EULA is for twelve (12) months, the period designated in the Services Agreement, or the period designated on the order confirmation receipt.'

Getting out. There is no published early-termination fee, but clause 15.7 makes the remaining term collectable and accelerable: 'In the event we terminate the EULA, Services Agreement, or both, you and the Verisk Customer will continue to be obligated for any fees due under the agreements (which fees we will have the right to invoice early) on or before the effective date of termination.' Verisk can also end the agreement for convenience on thirty days notice (15.2), and immediately with no cure period if you default on payment.

Auto-renewal. Automatic, with a fifteen-day written notice window. Clause 15.1: 'The term will automatically renew for like terms at the date of expiration unless you provide us with written notice of your intent to terminate the EULA at least fifteen (15) days prior to the date of expiration.' The 2024 renewal FAQ confirms the default persists after every renewal: 'Will my renewed subscription automatically renew in the future? Yes, after renewing, the subscription will renew automatically.' Switching it off is a phone call, not a toggle: the licence help article directs customers to contact Sales at 1-800-424-9228 to disable auto-renewal, and the FAQ says 'Please contact Sales at 800-424-9228 to cancel your subscription.'

Modules sold separately. , , , , , . The Xactimate figure worth writing down is the one with your day-one modules already in it, not the headline tier.

Small thing that turns out to matter. The published prices are real, but they're invisible to anything that doesn't run JavaScript. Verisk's marketing pages at verisk.com carry no figures at all, and the storefront at verisk.subscription-suite.io renders prices client-side. And every third-party 'Xactimate pricing' article you'll find quotes a different number, and the spread is wide: one aggregator lists a $350 starting price, others quote $149/month, $285/month or $1,500 to $2,000 a year. The actual list on 2026-08-07 is $2,690.00 a year for Pro and $350.00 for a single month. Don't price this deal off a blog post. So open the storefront, switch the term selector, and read the four numbers yourself before you talk to a rep, because the monthly-to-annual gap is $1,510.00 a year on the same edition.

The Xactimate costs that land afterwards

The subscription is the part everyone quotes. These are the lines that land afterwards, and the ones we could not find are named as unpublished rather than left blank.

The five workflows you pay for

Feature totals are noise. So a shop in this category lives or dies on five things, and those are the five to grade, and each one below carries the evidence it's graded on.

But a project manager, construction, 11-50 employees, Used daily for more than 2 years on the platform, says it differently: "I love that xactimate give me the ability to have the insurance company pricing in any area I go for work."

Sketch is the core, and the good measurement tools are partners rather than features Pro bundles Sketch AR for 'augmented reality to take direct-to-Sketch measurements', plus XactScope autofill and XactRebuild. But Standard gives you one platform and no AR. In practice most of the measurement accuracy comes from the partner layer: EagleView, HOVER, Geospan, DocuSketch, PLNAR, Nearmap, RoofScope and Leica DISTO all appear in Verisk's Xactimate-filtered partner list, and HOVER's own entry says its 3D models 'can be directly imported into Xactimate.' Reviewers confirm the pattern, one noting the sketch feature is 'frustrating with more complicated building designs' but that a third-party sketching program resolves it. And a construction, 2-10 employees, Used daily for less than 6 months on the platform, writing on 2016-12, puts it the same thing: "It doesn't allow you to snap lines for Metal roofing take off. The areal sketch is more expensive than Eagle view."

PDF and ESX are the exits, and the EULA restricts what you may keep The documented report export path in Xactimate online is Documents, then Reports, then the Export dropdown, which offers 'PDF File' and 'Email PDF File'. The machine-readable format is the ESX estimate file, which is how partners round-trip data. CapOut's directory entry describes exactly that: it 'parses the data, shows your profit, builds material orders, and exports an ESX directly to your Xactimate account.' But what you may not do is warehouse it. Clause 3.5(h) prohibits you from 'creat[ing] an archive or database of the data received from the Services without our prior approval', and clause 15.6 requires that on termination you 'either immediately return to us or destroy any and all portions of the Services, Price Data, or any other procedures, proprietary information, documentation, files, and/or any other property or data we provide', then confirm the destruction in writing.

Self-serve to grow, telephone to shrink Renewal, quantity increases and payment method live in the Customer Portal at verisk.subscription-suite.io/customerportal. But everything that lowers the invoice doesn't. Removing licences, changing billing terms, disabling auto-renew and cancelling all route to Sales on 800-424-9228. The FAQ also warns that 'modifications to the subscription are not possible during the renewal process', and the licence help article notes that 'license counts cannot be modified until the subscription is renewed', which is a narrow window to hit if you're trying to shrink.

Verisk sells AI into the product and forbids you pointing your own at it XactAI is an add-on at '$29/user/month' in early access. But the EULA meanwhile bans customer-side AI comprehensively: clause 3.6 prohibits using AI tools 'on, in connection with or in relation to' the Services or any data in them, including scraping, querying, deriving information from, or training on them, and deems any resulting model or embedding an unauthorised derivative that you must delete and certify destroyed on request. Clause 12.13 goes further on the vendor's own AI output: 'To the extent you acquire any rights, including intellectual property rights, in any such AI Outputs, you hereby assign all such rights to us.'

How Xactimate lands by trade

Fit differs by trade rather than by company size alone, and a blended paragraph hides that. Here is the split for the trades this one sells to.

The Xactimate integration that decides everything else

QuickBooks Online connects, on every plan. Nomad Blade (the bridge, not an accounting package) connects one way only, so edits made in your books do not come back, on every plan. Sage, Xero, Sage Intacct connects, on every plan. Your costs map through cost codes, so test yours against your own chart of accounts before you commit. A code your books don't recognise is how a labour charge quietly lands somewhere useless.

Past those, the road ends. Any direct accounting system, CRM and lead management, Payments and homeowner financing, Mac desktop do not connect. So if your books run on an ERP rather than the platforms named above, weigh that before anything else.

Beyond accounting it connects to EagleView (Aerial imagery and roof measurement reports imported into the estimate. Listed against both XactAnalysis and Xactimate.), HOVER (Smartphone-photo 3D models with exterior measurements, imported directly into Xactimate. The listing carries an 'Activate Xactimate in HOVER' start link.), Encircle (Field documentation, photos and moisture logging for restoration, feeding XactAnalysis and Xactimate.), CapOut (Parses a carrier PDF and writes an ESX back into your Xactimate account, with profit and material orders.), itel (Flooring, siding, roofing and cabinet matching and pricing analysis, integrated to Xactimate only.), Immoviewer (DocuSketch), PLNAR, Geospan, Nearmap, RoofScope, Sketch My Roof, Roofr Measurement Reports, Hosta A.I., Yembo AI, Loveland Innovations IMGING, Leica DISTO (The measurement and photo-capture cluster. Every one of these is a paid third-party product that feeds Xactimate.), XactAnalysis (Verisk's own claims assignment and workflow hub. This is the layer carriers use to route work to contractors, and it carries 76 partner integrations against Xactimate's 34.). A public API exists: There is an API, but access is permissioned rather than open. The EULA's general restrictions bar you from using 'application programming interfaces (unless, subject to Section 11, such application programming interface is made available and approved by Verisk as part of the Services), or any other similar automation tools' to access or control the Services. Section 11 then sets the terms for anyone who does have API access, including a right for Verisk to 'temporarily suspend or terminate your access to the API, Services, or both' on a reasonable belief of breach. In practice, integration happens through the approved partner programme, not a self-serve developer key.

Xactimate support, onboarding and the hours

Support is the line item nobody prices and everybody eventually needs. Onboarding for Xactimate: No implementation or onboarding fee appears on the storefront. Training is where the money goes instead, and it is split. The Xactware Store lists 'Unlimited access to 100+ hours of self-paced training. The review corpus we read on 7 August 2026 carries no consistent signal on response times either way, so treat support as untested rather than good. Open a real ticket during the trial and time the reply, because that is the number no pricing page gives you.

And this is the kind of thing you only find by reading the complaints. Verisk owns the price list, owns the anonymised transaction data your estimates generate, and owns any AI output derived from either. Clause 13.1 says 'We own all Price Data' and forbids transferring, copying or publishing it. Clause 13.4 says 'We own all Anonymous Data', defined as transaction data extracted from the Services with your name removed. Clause 12.13 says that to the extent you acquire any rights in AI outputs derived from Verisk content, 'you hereby assign all such rights to us.' Clause 3.5(h) forbids you from building an archive or database of the data without approval, and 15.6 requires return or destruction plus written certification on termination. Your historical estimating data isn't an asset you can carry to a competitor. So if you want a cost history you own, capture your own actuals in your own job-costing system as you go, rather than assuming you can mine the estimates later.

Where Xactimate falls short

What follows came from reading the review corpus by complaint type rather than by star rating, which is how you find the disqualifying detail buried in a five-star review.

The price list is labour and materials only, so your overhead and profit is a separate fight every time Xactimate hands you the carrier's number, not yours. One reviewer running an 11-50 person shop reports carriers paying the scope on Xactimate labour and materials alone and refusing O&P roughly 85 percent of the time. So that's economics, not a software bug: you're using the carrier's own pricing database as your bid, which means the tool that wins you the claim also caps what you can charge on it. On 2023-06, a construction, 11-50 employees, Used daily for more than 2 years on the platform, reports it: "Xactimate provides labor and material cost based on your geographic location however it does not include profit margins. This would be fine if most insurance carriers understood and accepted this however they pay our scopes based solely on Xactimate pricing of labor and materials and decline our O&P approximately 85% of the time. The amount of time spent in Xactimate, the costs associated and the skill level needed to use it efficiently should be accounted for. Before you subscribe, price out one recent job twice: once at your real cost-plus number and once at the Xactimate regional price list. And if the gap is bigger than your net margin, you need a supplementing process budgeted alongside the licence, not just the licence.

One licence means one active session, and moving between the truck and the office is friction The seat is genuinely single-occupancy. A Software Advice reviewer put it as 'allows only 1 login at a time', and a Google Play reviewer describes logging in on one device silently logging you out on another, then a half-hour freeze getting back in. Another reviewer flags an emailed code on every new device. And the EULA backs the restriction in writing: no sharing a single user licence, and no virtualisation workaround. But a xactimate mobile user, not stated on the platform, puts it it differently: "I only use this for sketching on site. Verisk's own renewal FAQ answers 'I want to decrease the number of licenses for my subscription' with 'Please contact Sales at 800-424-9228 to remove licenses.' And the same FAQ routes cancellation and turning off auto-renew to the same number. So the asymmetry is the point: the friction only exists in the direction that reduces the invoice. Put a calendar reminder 45 days before your term end date, not 15. Because you need to be inside the fifteen-day written-notice window with time to spare, and the seat count you want has to be settled before renewal because the help docs say 'license counts cannot be modified until the subscription is renewed.'

The learning curve is real and Verisk sells the cure separately unless you buy annual Multiple reviewers describe the same thing from opposite ends of the star scale: difficult to get the hang of, difficult to train new employees on, confusing line items. Windows-first, and the aerial measurement you want costs more than buying it elsewhere A reviewer on Mac reports having to buy a separate computer or program to run the desktop edition, with iPad mobile not covering the gap for everyone. Separately, a roofing and restoration estimator says the built-in aerial sketch is more expensive than EagleView. And both point the same way: Xactimate is the settlement format, and the surrounding capture tools are often better and cheaper bought from the 34 partners in Verisk's own directory. Selling estimates as your product is now contractually restricted The EULA carries an 'Estimate-as-a-Service Restrictions' clause. It defines the prohibited pattern as generating an estimate where the estimate is the primary deliverable to a third party, or where compensation is 'directly attributable to the generation of that Estimate, including a per-estimate fee, a subscription or retainer priced by reference to estimate volume, or a revenue-share arrangement based on estimate output.' And Verisk reserves the right to monitor 'the volume and frequency of Estimate generation' and to limit or suspend access. If any part of your revenue is writing estimates for other contractors, get that use written into your Services Agreement in advance. The carve-out for contractors estimating their own separately-engaged projects is explicit. But it doesn't cover a supplementing side business.

One more thing worth knowing. Every self-serve control in the Customer Portal moves the invoice up. But every control that moves it down is a phone number. Diary the renewal date the day you sign, minus 45 days. Because a seat you meant to drop and didn't costs $2,690.00 for another full year, and the help docs note license counts cannot be modified until the subscription is renewed.

One more thing worth knowing. The stability complaints are a decade-long thread, not a bad quarter, and they keep the same three shapes: upgrades that break access to existing jobs, no auto-save when the connection drops, and sync or login failures moving between devices. So pilot it on one machine, keep a PDF of any live estimate you can't afford to lose, and never let a field estimator start a 200-line scope on a marginal connection.

One more thing worth knowing. The measurement tools most contractors rely on are partners, not features, and that's where the real switching cost sits. Verisk's own directory returns 34 Xactimate integrations, and the dominant partner type in that filtered set is Photos & Measurements: EagleView, HOVER, Geospan, DocuSketch, PLNAR, Nearmap, RoofScope, Sketch My Roof, Leica DISTO, Hosta A.I., Yembo AI and Loveland IMGING. And one reviewer notes Verisk's own aerial sketch 'is more expensive than Eagle view.' Meanwhile XactAnalysis, the assignment hub carriers route work through, carries 76 partners against Xactimate's 34. When you total the cost of leaving Xactimate, count the measurement subscriptions and the carrier assignment flow, not just the licence. Because the licence is the smallest piece.

Worth a detour here. The 2026 EULA added a clause aimed squarely at the supplementing industry. 'Estimate-as-a-Service Use' is defined as generating an estimate where the estimate is the primary deliverable to a third party, or where you are paid per estimate, on a volume-priced retainer, or on revenue share tied to estimate output. It is 'prohibited unless expressly permitted under the Services Agreement', and Verisk reserves the right to monitor 'the volume and frequency of Estimate generation' and to limit or suspend access. But contractors, restoration companies, ladder assists, inspection services and adjusting firms estimating their own separately-engaged projects are explicitly carved out. If any slice of your revenue is writing estimates for other contractors, that's now a licensing conversation rather than a business decision. So get it into the Services Agreement before you scale it.

But Being the format a property carrier settles against. And nothing replaces the Xactimate price list in a claims negotiation.

Roofr. Homeowner-direct retail roofing. Fast measurement reports, good-better-best proposals a homeowner will read, and a free entry tier. Paid plans run $109/month (Measure+), $249/month (Essentials) and $349/month (Scale), billed monthly. But Insurance restoration. It doesn't carry carrier-recognised regional unit costs, and it isn't built for multi-trade interior water or fire scopes.

Cotality Claims Connect (formerly Symbility). Being the other carrier-accepted claims estimating platform. If your carrier panel runs on Claims Connect rather than XactAnalysis, this is the one that matters. But Ubiquity. Reviewers repeatedly describe Xactimate as the industry standard, and it's the platform contractors say they're expected to submit in.

Encircle. Field documentation for restoration: photos, moisture readings, sketches and reports captured on a phone, then handed to Xactimate. It's a Verisk-listed Xactimate partner, so it complements rather than replaces. But Pricing an estimate. It doesn't carry Verisk's price list and can't produce a carrier-settleable scope on its own.

JobNimbus. CRM, pipeline and job management for roofing and restoration crews, with the sales side Xactimate has no concept of. But Insurance scoping. You still need an Xactimate seat for the estimate itself, so this is an addition to the bill rather than a substitute.

CapOut. Turning a carrier PDF back into a working ESX without re-keying, and showing your profit on the scope before you accept it. And it's useful precisely because it sits on top of an Xactimate seat you already pay for. But Standing alone. It requires an Xactimate account to export into.

Don't buy Xactimate if you're A roofing or remodeling contractor whose work is homeowner-direct retail, cash and finance, with little or no insurance claim volume. You'd be paying $2,390.00 to $2,690.00 a year per seat for a price database whose entire value is that carriers settle against it. Reviewers who drifted out of insurance work say it plainly: 'The cost is too much for the amount of times that I would use it. When I was doing insurance repair it was ok. But now I don't use it enough.' And retail buyers want a clean proposal with options, not a 200-line carrier scope. Look at Roofr instead.

Don't buy Xactimate if you're A shop that wants estimating, job management, scheduling and accounting in one system. Xactimate is an estimator, not an operating system for the business. Verisk's own partner directory lists 34 Xactimate integrations and not one of them is a direct accounting connection. The only accounting path in the whole Xactimate-filtered directory runs through a third-party job-management partner that carries its own QuickBooks Online link. So you'll be buying two products and paying for the seam between them. Look at AccuLynx instead.

Don't buy Xactimate if you're A Mac-only solo operator or a business that runs on iPads and Chromebooks. A reviewer reports the desktop edition being Windows-only and having to buy a separate computer or program to run it, with iPad mobile 'not helpful for everyone.' And buying a Windows machine to run a $2,690.00-a-year licence changes the real first-year cost by more than the Standard-to-Pro gap. Look at Encircle instead.

Don't buy Xactimate if you're A supplementing or estimate-writing service billing per estimate or on a volume-priced retainer. No. Don't buy this. You'd pay $2,390.00 to $2,690.00 a year per seat for a database whose whole value is carrier acceptance, then hand homeowners a line-item scope that reads like an insurance document. One thing to check before you sign with Xactimate

Now, this next bit is our own research, so weigh it accordingly. We don't sell contractor software and we're not an alternative to anything on this page.

Restoration and roofing contractors who live inside Xactimate spend their day optimising for one audience, the carrier's desk adjuster, and it's easy for the homeowner-facing side of the business to go unattended. But claim work and retail work arrive through the same website, and a slow-loading page loses the retail lead before anyone reads the scope. And a site that takes four seconds to render its main content is losing homeowners who never see how good the estimate would have been.

The basis is 11 vendor pages for Xactimate, read on 7 August 2026, and every review we could retrieve, sorted by complaint. Pricing was verified the same day, and every figure above traces to a page we opened.

So: 14 quotes on this page, twelve from Software Advice and two from Google Play.

And G2 (https://www.g2.com/products/xactimate/reviews returned HTTP 403 Forbidden) and Apple App Store (the guessed listing id returned HTTP 404; the correct Xactimate iOS listing wasn't located before the web-search budget was exhausted) refused automated retrieval for Xactimate. Where their scores appear in third-party roundups we have left them out rather than pass on a number we could not open.

Does Xactimate auto-renew, and how do I cancel?

It auto-renews, and cancelling is a phone call. The EULA says the term 'will automatically renew for like terms at the date of expiration unless you provide us with written notice of your intent to terminate the EULA at least fifteen (15) days prior to the date of expiration.' Verisk's 2024 renewal FAQ answers the cancellation question with 'Please contact Sales at 800-424-9228 to cancel your subscription', and the licence help article routes disabling auto-renew to the same number. Renewing and adding licences are self-serve in the Customer Portal. But removing licences and cancelling are not.

Can two people share one Xactimate licence?

No, and the restriction is contractual rather than just technical. The EULA prohibits you from sharing 'a single user license of the Services with multiple users or individuals' and from using 'a desktop virtualization application (e.g., Citrix), cloud computing platform, or any other method' to do the same thing. And reviewers describe the enforcement side of it: one says the licence 'allows only 1 login at a time', and a mobile reviewer reports that logging in on one device logs you out on another.

Does Xactimate connect to QuickBooks?

Not directly. Filtering Verisk's own partner ecosystem to Xactimate returns 34 partners, and none of them is an accounting platform. QuickBooks Online appears exactly once in that filtered set, and it's inside the description of Nomad Blade, a third-party restoration management system that carries its own QuickBooks link. So if your books need to see your estimates, you're buying a second product.

Can I export my estimates and keep them if I leave?

You can export reports as PDF, and partners round-trip the machine-readable ESX estimate file. But what the contract restricts is warehousing. Clause 3.5(h) prohibits creating 'an archive or database of the data received from the Services without our prior approval', and clause 15.6 requires that on termination you either return or destroy 'any and all portions of the Services, Price Data, or any other procedures, proprietary information, documentation, files, and/or any other property or data we provide', then confirm the destruction in writing. Verisk separately states it owns all Price Data and all Anonymous Data.

Is Xactimate worth it if I don't work with insurance carriers?

Almost certainly not. The value is that the estimate arrives in a format carriers recognise and settle against. Take that away and you're paying roughly $2,690.00 a year per seat for a price database that also caps what you can charge, since reviewers report carriers paying labour and materials off the Xactimate list while declining overhead and profit most of the time. And a retail proposal tool costs a fraction of that and converts better with homeowners.

Do I have to pay extra for training?

It depends on your term. The 100+ hour self-paced Xactware Classroom library is described as 'included with your annual Xactimate subscription', so the 12-month buyers get it. But in-person classroom training, virtual classroom training, the Xactimate User Certification exam, the workbooks and the XactAnalysis Insights course are all separate purchases on the Xactware Store. A one-star reviewer's complaint that 'They want to charge you to be able to learn the system' is describing that split.
