Tradify is Per-user job management for solo trades and small service crews who quote, schedule and invoice from the van and want the accounts to land in Xero or QuickBooks without re-keying. It sells to Electrical and HVAC and Plumbing contractors, and the shape of the product follows from that: Reviewers describe building quotes from a saved price list, sending them for online acceptance, seeing open and view tracking, then converting straight through to purchase orders and invoices without re-entry. And an electrician describes quoting in front of the customer and booking the work in the same visit. So this is the strongest part of the product and the reason it retains solo operators and small crews.

The shops Tradify fits, and the ones it doesn't

It fits Solo operators and 2-10 person service crews running reactive residential and light-commercial service and maintenance work: electrical, HVAC, plumbing and refrigeration callouts, small installs, and recurring maintenance visits. That's the half most reviews print. Here's the other half, which is the one worth your time.

Don't buy it if you're Commercial, fleet or facilities contractors whose customers require a detailed field service report with photos attached to or referenced by the invoice. The clearest failure case in the review record is exactly this workflow. A director in the automotive/fleet space describes on-site reports that can't be transferred or attached to invoices, can't be sent standalone to a fleet customer, and sometimes don't save at all. So if the report is the deliverable your client pays against, this is a structural mismatch, not a settings problem. Look at ServiceTitan instead.

Don't buy it if you're Crews of 15 or more where every field tech and office admin needs a seat. Per-user pricing at $47 to $61 a seat means 15 users on Plus is $915/month in subscription alone. But competitors in the same category sell flat-rate unlimited-user plans (ServiceM8 from $29/mo) or banded plans that stop scaling linearly. And Tradify's own reviewers name cost as a con at the larger end while praising affordability at the solo end. Look at ServiceM8 instead.

Don't buy it if you're Trades working routinely in areas with no data coverage: basements, plant rooms, rural service territories, underground or shielded sites. Tradify has no offline mode. Reviewers across multiple years describe having to be online to use it, and describe slowness rather than graceful degradation in weak signal. So every no-signal job becomes a paper job re-entered later, which is the exact admin cost the software is sold to remove. Look at FieldPulse instead.

Don't buy it if you're Businesses that need a wide integration stack: payroll, supplier price feeds, phone/CRM systems, review automation. The vendor's integrations page names four partners and links no API or marketplace. So anything outside Xero, QuickBooks, Stripe and Google Calendar is manual. And a shop assembling a connected stack will hit that ceiling in the first quarter. Look at Jobber instead.

Pricing: what Tradify publishes and what it doesn't

You can read Tradify's prices without booking anything. So the headline figure is the easy part. What the entry tier quietly leaves out is the question.

The terms state: "Tradify charges on a per user basis or as specified in the terms notified to a user for any additional features or services. There is a discount for paying annually up front: No annual discount percentage is published on the pricing page. The terms confirm a yearly billing option exists and that it locks the user count at the moment of payment: "Yearly billing charges will be based on the number of users when yearly billing payment option is is made." (verbatim, including the duplicated word). Ask what the annual rate actually is before assuming a discount exists. And an annual prepay discount tells you an annual commitment exists, which is worth knowing before anyone mentions a term length out loud.

The Tradify costs that show up later

Payment processing. Card payments run through Stripe, which Tradify names but does not price on its site. Tradify disclaims responsibility for the payment rail entirely: "Tradify is not responsible for any payments processed (or not processed) between your customers and their customers (payers) via Stripe." The integrations page offers the option to "pass the credit card fees on to your customers". Stripe's own processing rate is the figure that matters and it is not disclosed by Tradify.

Implementation and onboarding. Is onboarding, data migration or setup training charged separately, or included? Reviewers describe free setup calls and "free training provided once signed up", but no onboarding fee or inclusion is stated anywhere on the pricing page. So get it in writing before signing.

Minimum term. No minimum term is stated. The terms say "Use of the Service may be cancelled by the you at any time." Cancellation does not trigger a refund: "Any monthly or yearly charges will not be refunded when You cancel. Any usage since the last charge will be prorated for the portion of the uncharged month which the account was active."

Getting out. No early-termination fee is specified. Termination is asymmetric: the customer cancels with no refund, and Tradify reserves an unconditional right to end service: "Tradify has the right to suspend or terminate the Service and refuse any and all current or future use of the Service for any reason at any time." Free accounts also lapse: "Free accounts unused for more than 90 days will be regarded as abandoned and may be closed by Tradify."

Auto-renewal. Monthly subscriptions auto-charge the card on file without a separate renewal step: "Monthly paying subscribers to Tradify will be charged monthly automatically via their nominated card." Terms changes are pushed on 30 days' notice with silence treated as acceptance: "Tradify reserves the right to update and change the Terms from time to time on 30 days' notice. By continuing to access the Platform after this notice period expires, you agree to be bound by the updated or changed Terms."

Modules sold separately. . But the entry tier is not the price you'll pay. Add the modules your shop needs on day one and compare Tradify on that total.

Third-party services you will also pay for. . These are not on Tradify's invoice, and they are still part of what this decision costs you every month.

One oddity, filed under things nobody mentions on a demo. The Terms of Service document disagrees with itself about when it was written. The PDF is headed "Terms of Service / 8 November 2024" and contains a whole new AI acceptable-use section marked in blue as changed. But the final line of the same document reads "The Terms were last updated on 10 May 2019." A blue-text legend at the bottom says "Blue text identifies the changes over prior versions", so the 2024 edit was clearly deliberate and the 2019 footer was simply never updated. Read the PDF, not the web page. The clauses that govern your money and your data (per-user arrears billing, no-refund cancellation, export-on-request, NZ arbitration, the AI fair-usage upgrade trigger) live in the PDF, and the vendor's own version metadata is unreliable enough that you should date-stamp and save the copy you agreed to.

The Tradify line items nobody mentions

The subscription is the part everyone quotes. These are the lines that land afterwards, and the ones we could not find are named as unpublished rather than left blank.

Sold separately. . Price the configuration you'll really run, because an add-on you need on day one is part of the price.

Third-party services you'll also pay for. . None of these are on Tradify's invoice, and all of them are part of what this decision costs every month.

The six workflows you pay for

Feature totals are noise. So a shop in this category lives or dies on six things, and those are the six to grade, and each one below carries the evidence it's graded on.

I can track my teem and alter items on site. I use this to my advantage as it is a great selling tool, customers do not like waiting for quotes and the speed you can do all this show that you are on the ball and a professional. Accounts push outward from Tradify; the vendor never describes anything flowing back Every sentence on the vendor's integrations page describes movement in one direction. Invoices, bills, payments, suppliers and customers are created in Tradify and sent to Xero or QuickBooks. Contact edits made in Tradify update in the accounting package. But nothing on the page describes a change made in Xero or QuickBooks flowing back into Tradify. So treat Tradify as the system of record for jobs and the accounting package as the downstream ledger, and don't expect bookkeeper edits to reconcile backwards.

Drag-and-drop scheduling works for small crews but has no conflict guard and no offline fallback Reviewers describe scheduling the crew the night before so techs see their day on their phone, with Google Calendar sync available from the entry tier. But the limits show up in edge cases: the calendar permits overlapping bookings without warning, adding a second tech to an already-scheduled job is awkward on desktop, and the whole thing needs a live connection. A shop running 60 site visits a day made it work. But a shop needing hard dispatch guardrails won't. But an electrician, utilities, Less than 6 months on the platform, says it differently: "The software allows me to double book my time, which seems strange, if I try to schedule an appointment that overlaps an already scheduled appointment, it should alert me, and not allow it. Perhaps this one, is something I am doing wrong, but If i make a kit, and want it at a certain billing rate, it always appears in my quote as the Standard billing rate."But a director, construction, 2+ years on the platform, says it differently: "When a job is already scheduled and you need to add another staff member to the job you can't just add them easily enough like you can with a mobile app."But a manager, construction (plumbing), 2+ years on the platform, says it differently: "We run 12 staff and up to 60 sites a day. Its great to use simple to follow. The staff had it nailed in 2-3 days."

Photos and files attach to jobs from Pro upward, but turning them into a customer-facing report is a Plus-tier feature with known gaps Job photos and files sit on Pro. Job service reports sit on Plus. And between those two lines is where the sharpest criticism lands: reports that won't attach to invoices, won't send standalone to a customer, and in one account sometimes don't save. So trades whose value is proven by documentation (HVAC commissioning sheets, electrical test results, plumbing compliance) should treat this as the trial's pass/fail test. On 2021-02-10, a director, automotive, Less than 6 months on the platform, describes it: "The system is fairly easy to use but its totally backwards, for example on site our engineers need to fill out a onsite report with parts required and faults identified with a detailed description of fault and pictures. Tradify only allows this if you fill out a section called notes and then it transfers over to report which is useless. we cant fill out a note and send to a fleet customer. Our contractors want a detailed report from site with pictures which this system doesn't allow. reports info cant be copied and pasted or transferred to invoice. Staff onsite fill out reports that then dont arrive or save. Support is uselss because they dont understand the requirements that are needed."On 2022-11-30, an owner, construction, 2-10 employees, 2+ years on the platform, describes it: "not being able to send our customer a report with photos etc"

SmartRead and SmartWrite are Plus-tier AI features governed by a fair-usage clause that can force an upgrade Tradify added an Acceptable Use Policy for its SmartTools AI features in the November 2024 terms, naming OpenAI, Google Document Intelligence and SupaHuman as underlying providers. The AUP confirms you own your inputs and outputs and that Tradify won't train on your content. But it also reserves an open-ended right to throttle or bill you more if usage is judged excessive, at Tradify's sole discretion and without prior notice.

Hands-on setup calls during the trial are the most consistently praised part of the vendor relationship Multiple reviewers independently describe being contacted during the free trial and offered setup calls at convenient times, free training after signing, and fast phone callbacks. And a 12-staff plumbing operation reports the team was productive in 2-3 days. This is unusual at a sub-$60 seat price and is a genuine differentiator against self-serve competitors. But note the counter-signal: one reviewer describes support that repeatedly raises tickets without resolving the underlying issue. On 2016-09-06, a manager, construction (plumbing), 2+ years on the platform, describes it: "We run 12 staff and up to 60 sites a day. Its great to use simple to follow. Fit differs by trade rather than by company size alone, and a blended paragraph hides that. Here is the split for the trades this one sells to.

The Tradify integration that decides everything else

Xero connects one way only, so edits made in your books do not come back, on every plan. QuickBooks Online connects one way only, so edits made in your books do not come back, on every plan. Your costs map through cost codes, so test yours against your own chart of accounts before you commit. A code your books don't recognise is how a labour charge quietly lands somewhere useless.

Past those, the road ends. MYOB, Sage, Zapier, Payroll systems, Supplier pricing feeds do not connect. So if your books run on an ERP rather than the platforms named above, weigh that before anything else.

Beyond accounting it connects to Stripe (Online and credit-card payment processing on invoices, with an option to pass card fees to the customer. But Tradify contractually disclaims responsibility for payments processed through it.), Google Calendar (Two-way-sounding calendar sync of the Tradify schedule; the vendor's wording is "Automatically sync with Google Calendar to keep all your schedules up to date." Listed as available from the Lite tier.). A public API exists: No public API, developer documentation, or app marketplace is linked from the Tradify integrations page. The page names four partners in total (Xero, QuickBooks, Stripe, Google Calendar) and offers no general connector path. The terms do contemplate third-party applications accessing your data if you enable them, but disclaim responsibility for what those providers do with it: "If you enable third-party applications for use in conjunction with the Service, you acknowledge that we may allow the providers of those third-party applications to access your Data... We will not be responsible for any disclosure, modification or deletion of your Data resulting from any such access by third-party application providers."

Getting help from Tradify, and getting it fast

Support is the line item nobody prices and everybody eventually needs. Tradify publishes no onboarding fee either way, so ask what is included at your tier and what is billed hourly after go-live.

Tradify contracts, and getting out

Nobody reads this section before they buy, and it's the one that costs money afterwards. Four terms decide what leaving looks like.

Minimum term. No minimum term is stated. The terms say "Use of the Service may be cancelled by the you at any time." Worth a detour here. Both exits from Tradify run through a human at the vendor rather than a button in the product. Cancellation: "To cancel the service, please send an email to support@tradifyhq.com." Data export: "If your account is terminated, we will provide an export of your data on request." And neither is a self-service action with a stated SLA, and one reviewer separately describes support that "just keep raising a ticket as if that is the magic answer". Sequence your exit deliberately: request and verify the full export FIRST, confirm you can read it and that photos and attachments came through, and only then send the cancellation email. Because doing it in the other order puts your entire job history behind a support queue you no longer have leverage with.

The Tradify problems that survive onboarding

What follows came from reading the review corpus by complaint type rather than by star rating, which is how you find the disqualifying detail buried in a five-star review.

No offline mode, and the complaint spans nearly a decade of reviews Tradify is browser-and-cloud dependent. Reviewers in 2017 asked for offline-then-sync, and the same gap shows up in reviews years apart. So for electricians in plant rooms and basements, HVAC techs on rooftops, and plumbers in crawlspaces, a job sheet that won't load is a job sheet filled in twice: once on paper in the field and once in the office. And reviewers also tie the online-only design to slowness in weak-signal areas, not just hard failures. And an owner, 2+ years on the platform, writing on 2017-07-05, puts it the same thing: "No offline functionality. I would love to be able to use this without data coverage in the field and then have it sync with the server. This also affects the speed of usage if I am in a weak mobile signal area." Before the trial ends, put a phone in airplane mode on a real job and try to open a job, add materials and capture a photo. And if it can't, price the cost of double entry into the subscription.

And a separate reviewer independently names the same gap. Job service reports sit on the Plus tier, so a buyer on Lite or Pro doesn't even have the feature to test. Four integration partners, no public API, and no marketplace The vendor's own integrations page names exactly four partners: Xero, QuickBooks, Stripe and Google Calendar. And there's no app marketplace, no Zapier listing, and no developer or API documentation linked from it. That's a very narrow surface for a field service platform. So anything you want connected that isn't on that list of four is manual export and re-import. List every system you need Tradify to talk to (payroll, supplier pricing feeds, phone system, CRM, review platform). And anything not among those four is a manual process. So ask sales in writing whether an API exists and is documented.

Per-user pricing compounds where competitors sell unlimited users flat Every Tradify tier is priced per user, per month. A 10-person crew on Plus is $610/month in seat cost alone before add-ons or Stripe fees. But ServiceM8, a direct competitor in the same Australasian small-trade segment, publishes flat-rate plans with unlimited users from $29/mo. And reviewers who love Tradify at 1-3 users and reviewers who name cost as a con at larger sizes are describing the same pricing curve from opposite ends of it. Model the seat cost at the headcount you expect in 24 months, not today. And include office admin and apprentices, since Tradify bills per active user and it's on you to manage the user level.

Data export after termination is on request, not self-serve The terms confirm you own your data, then hand the extraction step to the vendor: "Title to, and all Intellectual Property Rights in, the Data remain your property... If your account is terminated, we will provide an export of your data on request." And there's no stated format, no stated turnaround, and no self-service export guarantee in the contract. So that's a support ticket standing between you and years of job history, quotes and customer records. Cancellation itself also runs through email to support rather than a button. Do a full export during the free trial, not at the end of the relationship. And confirm in writing the format, the field coverage (do photos and attachments come out?) and the turnaround for an export request.

Inventory and reporting are the two named soft spots The most recent detailed review in the set, from July 2025, names inventory management, reporting capabilities, limited customization and scheduling automation as the weak areas in one breath. And that isn't an old complaint that has since been fixed. It's current. Reporting sits behind the Plus tier, so the buyers most likely to need it pay the top per-seat rate to find out whether it's enough. On 2025-07-14, an owner, environmental services, 2-10 employees, 1-2 years on the platform, reports it: "My overall experience with Tradify has been positive. It's a solid, user-friendly platform that helped streamline our quoting, scheduling, and invoicing processes. The mobile app made it easy for our team to manage jobs on the go, and the integration with Xero simplified our accounting workflow. workflows. Inventory management also isn't very strong, which could be an issue for businesses that track a lot of parts or materials." Write down the three reports you run your business on (gross margin by job type, tech utilisation, aged receivables) and build all three in the trial on Plus before you pay for a year.

Scheduling has no double-booking guard A reviewer reports the calendar will let you book a tech into two overlapping appointments without warning. So for a reactive service business dispatching same-day callouts, an overlap that nobody flags is a missed appointment and an angry customer. And a second reviewer separately reports friction adding an extra staff member to an already-scheduled job on desktop. An electrician, utilities, Less than 6 months on the platform, writing on 2019-03-26, describes it: "The software allows me to double book my time, which seems strange, if I try to schedule an appointment that overlaps an already scheduled appointment, it should alert me, and not allow it. Perhaps this one, is something I am doing wrong, but If i make a kit, and want it at a certain billing rate, it always appears in my quote as the Standard billing rate." Deliberately try to double-book one technician during the trial. And if nothing stops you, decide who owns the manual check before you go live.

One more thing worth knowing. Tradify bills in arrears on last month's usage, prorated per active user, and explicitly makes user-count hygiene your job, not theirs. The terms say "The monthly payments will be based on the usage of the previous month" and "Tradify charges per active user, for monthly billing, pro-rated for the portion of the month for which the user is an active user, and it is solely up to you to maintain your own user level." And a separate refunds clause then tells you where to write if you got it wrong: "Please notify us in writing to billing@tradifyhq.com for accidental additional users". Seasonal trades that add apprentices in summer will pay for them until somebody remembers to deactivate the seat, and the refund for an accidental seat is discretionary, not guaranteed. So put a recurring calendar reminder on user-list review the week before each billing date, and treat offboarding a tech as a two-step process: keys back, and seat deactivated.

One more thing worth knowing. The negative reviews cluster into exactly two buckets and they behave completely differently over time. Bucket one is field reporting: reports that won't attach to invoices, won't send to a customer with photos, and in one account don't save. Bucket two is connectivity: no offline mode, slow in weak signal. And the connectivity complaint recurs unchanged from 2017 through the recent reviews, which means it's an architectural choice rather than a backlog item. But the reporting complaints, and the July 2025 review naming inventory, reporting, customization and scheduling automation, are the current live edge. Don't wait out the offline gap. A complaint that survives nine years of releases is a product decision, not a roadmap item, and buying on the assumption it'll be fixed is buying on hope. So score Tradify as an online-only tool and decide whether your service territory can live with that, because that's the tool you'll still have in three years.

One more thing worth knowing. Liability is capped at what you've paid, and the payments rail is disclaimed separately. Section 6 states: "In no event will Tradify's aggregate liability arising out of or in connection with the Terms and your use of or inability to use the Platform and Service exceed the Charges you have paid to Tradify." It adds: "Tradify is not responsible for any payments processed (or not processed) between your customers and their customers (payers) via Stripe." And the warranty position is total: "Tradify gives no warranty about the Service." If a scheduling failure costs you a day of missed callouts, or a payment doesn't land, your maximum contractual recovery is roughly one small subscription invoice, adjudicated by an arbitrator in New Zealand. That's normal for SaaS at this price. But it means your operational resilience has to be your own: keep an independent record of the day's bookings and reconcile Stripe settlements against your own ledger rather than trusting the integration silently.

Side note, and it's a useful one: tradify's free tier is platform-discriminatory in a way nothing on the pricing page mentions. The terms state: "Tradify will offer a free version of the Service on iOS for the purpose of evaluation and use, and a free trial of the Service on web and Android platforms for the purpose of evaluation only." iOS gets an ongoing free version; web and Android get 14 days and then it stops. And the terms reserve an undefined throttle: "Use of the Service may be subject to limitations, including but not limited to monthly transaction volumes." An Android-only sole trader and an iPhone-only sole trader aren't being offered the same product, and neither the pricing page nor the tier table says so. So if your crew is mixed-platform, evaluate on the devices they carry, and ask sales in writing what the monthly transaction volume limits are on your tier before you build a workflow that depends on volume.

ServiceM8. Cost at crew scale. Flat-rate plans with unlimited staff mean adding the fifth or fifteenth technician costs nothing extra, where Tradify charges another $47 to $61 per seat. And there's a genuinely free single-user tier for testing. But Flat pricing is banded by job volume and feature set rather than seats, so a low-headcount high-volume shop can land on an expensive tier. And Tradify's guided onboarding and phone support are more consistently praised in reviews.

Jobber. Breadth of integrations and marketing/client-communication tooling, plus banded user bundles that stop the per-seat curve from compounding as steeply past five users. But Entry price per single user is higher than Tradify's Lite seat, and the headline prices shown are annual-billing rates. So Tradify is cheaper for a true solo operator paying month to month.

Fergus. The closest like-for-like Australasian competitor, also New Zealand-built, with a day-rate contractor user class that's cheaper than a full Tradify seat for occasional subcontractors. And it states "no lock-in contracts" and "monthly billing" on the pricing page. But The published table doesn't state how many users the base plans include, so the real cost is harder to model than Tradify's flat per-seat number. And Tradify's review volume and rating on Capterra are substantially higher.

Housecall Pro. Consumer-facing service business tooling: online booking, marketing automation, and a US-centric residential service feature set. And it has deeper reporting and inventory than Tradify's named weak spots. But Roughly 1.7x Tradify's entry seat cost at the base tier, and the headline figures shown are annual-billing prices with higher month-to-month rates. And it's a heavier product for a one-to-three person shop.

simPRO. Depth for larger commercial and maintenance-contract operations: asset registers, complex project work, inventory and multi-warehouse stock. And a Tradify reviewer explicitly describes migrating from simPRO down to Tradify for simplicity, which reads in reverse as the upgrade path. But It doesn't publish pricing at all, so a small crew can't budget without a sales conversation. And Tradify's own reviewer named ease of use, affordability and mobile functionality as the reasons for leaving simPRO.

Who should not buy Tradify

Don't buy Tradify if you're Commercial, fleet or facilities contractors whose customers require a detailed field service report with photos attached to or referenced by the invoice. The clearest failure case in the review record is exactly this workflow. A director in the automotive/fleet space describes on-site reports that can't be transferred or attached to invoices, can't be sent standalone to a fleet customer, and sometimes don't save at all. So if the report is the deliverable your client pays against, this is a structural mismatch, not a settings problem. Look at ServiceTitan instead.

Don't buy Tradify if you're Crews of 15 or more where every field tech and office admin needs a seat. Per-user pricing at $47 to $61 a seat means 15 users on Plus is $915/month in subscription alone. But competitors in the same category sell flat-rate unlimited-user plans (ServiceM8 from $29/mo) or banded plans that stop scaling linearly. And Tradify's own reviewers name cost as a con at the larger end while praising affordability at the solo end. Look at ServiceM8 instead.

Don't buy Tradify if you're Trades working routinely in areas with no data coverage: basements, plant rooms, rural service territories, underground or shielded sites. Tradify has no offline mode. Reviewers across multiple years describe having to be online to use it, and describe slowness rather than graceful degradation in weak signal. So every no-signal job becomes a paper job re-entered later, which is the exact admin cost the software is sold to remove. Look at FieldPulse instead.

Don't buy Tradify if you're Businesses that need a wide integration stack: payroll, supplier price feeds, phone/CRM systems, review automation. The vendor's integrations page names four partners and links no API or marketplace. So anything outside Xero, QuickBooks, Stripe and Google Calendar is manual. And a shop assembling a connected stack will hit that ceiling in the first quarter. Look at Jobber instead.

The verdict, by shop size

Solo operator to 3-person service crew, residential and light commercial

Yes, and this is the shape the product is built for. This is the band Tradify was built for and the band its reviews come from. At one to three seats the per-user model is cheap ($47 to $183/month), the quote-to-invoice loop is the strongest part of the product, the guided setup calls during the trial are a real advantage over self-serve competitors, and the accounting push into Xero or QuickBooks removes the double entry that eats a solo operator's evenings. And reviewers at this size repeatedly describe cutting office time substantially. The offline gap matters least here because a solo operator can re-enter one job. It isn't a crew-wide tax yet. This band runs 1 to 3 on the crew, doing residential and service work, and that's the profile the recommendation is written for.

4-10 person service crew, residential and commercial mix

Only under conditions, and they are worth being honest about. Workable, and a 12-staff plumbing operation in the review set runs 60 site visits a day on it. But three things need testing before you commit. First, seat cost: 10 users on Plus is $610/month, and flat-rate competitors start at $29. Second, reporting and inventory, both named as current weak spots in a 2025 review, and both gated behind the top Plus tier. Third, the scheduling calendar has no double-booking guard, which is a bigger deal when you're dispatching eight people than when you're dispatching yourself. So trial on Plus, not Lite, and build your three core reports before paying. This band runs 4 to 10 on the crew, doing residential and commercial and service work, and that's the profile the recommendation is written for.

Commercial, fleet or facilities contractors on documentation-heavy maintenance contracts

No. The single most detailed negative review in the entire set is exactly this buyer, and the failure is structural. Field reports can't be transferred or attached to invoices, can't be sent standalone with photos to a fleet customer, and are pushed into a notes field instead. And a second reviewer names the same gap independently. So when the signed report with photos IS the deliverable your client pays against, a tool that can't attach it to the invoice isn't a configuration problem you can train around. Insurance restoration work

No. Nothing in Tradify's published feature set or its review record addresses insurance restoration workflow: no Xactimate or carrier estimating integration, no claim or adjuster workflow, no moisture or drying log capture, and no documentation package assembly. The integration surface is four partners wide with no API, so there's no route to bolt any of it on. And restoration contractors need a purpose-built platform. This band runs 1 or more on the crew, doing insurance work, and that's the profile the recommendation is written for.

15+ technicians, multi-crew, per-seat cost sensitive

No. Per-seat pricing that never bands out is the problem. Fifteen users on Plus is $915/month in subscription alone, before the Stripe processing spread, before the Instant Website add-on, before whatever the Custom tier costs. But competitors at this size sell unlimited-user flat plans or bundled user bands. Then layer on the operational gaps that only bite at scale (no double-booking guard, weak reporting, no payroll integration, no API to automate around any of it) and the economics and the fit both point elsewhere. This band runs 15 or more on the crew, doing residential and commercial and service work, and that's the profile the recommendation is written for.

One thing to check before you sign with Tradify

A disclosure and a number. We're a web design studio for contractors, we don't sell software, and we measured something that sits right beside this decision.

Tradify's own review record shows the money is won or lost before the software ever opens. The reviewers who rave describe quoting in front of the customer and booking the job in the same visit, watching a quote get opened and accepted online. But the reviewers who churn describe a customer who never got the quote at all: one office administrator reports that "sometimes sent quote shows as opened and viewed by the customer when they didn't even received it." And that's the whole contractor funnel in miniature. Speed to quote is the conversion event, and every second of friction ahead of it is a lead someone else booked. So the same physics governs the website that produced the enquiry: a homeowner with a burst pipe or a dead furnace isn't waiting through a slow-loading hero image to find your phone number. Tradify can shorten the gap between enquiry and quote to minutes. But it can't do anything about the enquiry that never arrived because the page took four seconds to paint on a phone in a driveway.

Our contractors want a detailed report from site with pictures which this system doesn't allow. reports info cant be copied and pasted or transferred to invoice. Staff onsite fill out reports that then dont arrive or save. Support is uselss because they dont understand the requirements that are needed.

when sending emails from tradify the invoices at the bottom say sent from Tradify, i get that its a bit of free advertising for Tradify but I think it looks unprofessional from our point of view, you can download invoices and documents and send your usual way but that does take longer. Doesn't get updated very regularly I used a competitors software for a while (doesnt integrate with MYOB essentials which is why i stopped) and they did regular improvements every month. doesn't integrate with other calendar programs like google calendar. kits which i like where you basically put together regular things that you do ie install a double Power point, but you cant do this on invoices. Pages on the app do take a long time to load and a big downfall no offline access to the app.

The software allows me to double book my time, which seems strange, if I try to schedule an appointment that overlaps an already scheduled appointment, it should alert me, and not allow it. When i first started I thought is was a bit of a gimmick, however it is far from it, I have been using tradify for about 2 years now and i can tell you that it has cut my office time down by 70%. I now quote at the customs house in front of them and give them a quote there and then, i then can book them in to do the work at the same time. my teem gets there purchases order descriptions work and where and when at the same time ( no doing quotes at midnight). I can track my teem and alter items on site. I use this to my advantage as it is a great selling tool, customers do not like waiting for quotes and the speed you can do all this show that you are on the ball and a professional. My competition does not stand a chance. I can be a little non user friendly to start with but keep persisting as it will pay off.

How much does Tradify cost?

Tradify publishes three priced tiers on its pricing page, all charged per user per month in USD: Lite at $47, Pro at $51, and Plus at $61. A fourth Custom tier is listed as "Price by request" with all Plus features included. And there's one published add-on, Instant Website at $12 per month. A 14-day free trial is offered, and the vendor says "Our free trial includes all the features, giving you the freedom to find out what plan will work best for your business." But note that the prices are per seat with no user bundling, so a five-person crew on Plus is $305 a month before add-ons or card-processing fees. And New Zealand customers are billed differently: the terms state "Pricing for New Zealand-based customers is in New Zealand Dollars and exclusive of GST."

Does Tradify lock you into a contract?

No minimum term is stated. The terms say "Use of the Service may be cancelled by the you at any time." But the catch is on the way out: "Any monthly or yearly charges will not be refunded when You cancel. Any usage since the last charge will be prorated for the portion of the uncharged month which the account was active." So a monthly subscriber loses nothing much, but an annual subscriber who cancels in month two has no contractual right to a refund for the remaining ten. And cancellation isn't a self-serve button in the app: the terms direct you to "send an email to support@tradifyhq.com". Refunds beyond that are discretionary: "Refunds will be given at the discretion of Tradify."

Can I get my data out of Tradify if I leave?

You own it, but you have to ask for it. The terms confirm "Title to, and all Intellectual Property Rights in, the Data remain your property" and then state "If your account is terminated, we will provide an export of your data on request." So that's an export by support request, not a guaranteed self-service download. And the contract names no format, no field coverage, and no turnaround time. Run a full export during your free trial so you know what comes out, whether photos and job attachments are included, and how long it takes, rather than discovering the answer at the moment you're trying to leave.

What does Tradify integrate with?

Four things, according to the vendor's own integrations page: Xero and QuickBooks for accounting, Stripe for card payments, and Google Calendar for scheduling. And there's no app marketplace, no Zapier listing, and no public API or developer documentation linked from that page. MYOB and Sage aren't named, despite a 2021 reviewer praising a MYOB integration, so Australasian and UK buyers on those ledgers should confirm current support in writing. And accounting sync is available from the entry Lite tier, and the direction described is outward: invoices, bills, payments, suppliers and customers created in Tradify sync to the accounting package, with no reverse flow described.

Does Tradify work offline?

No, and this is the most consistent complaint in its review history. Reviewers describe having to be online to use the software and wanting the ability to work offline and then sync, with one noting it also slows down badly in weak-signal areas rather than degrading gracefully. And another names "no offline access to the app" as a big downfall. So for electricians in plant rooms and basements, HVAC techs on rooftops, or anyone servicing rural territory, test this deliberately during the trial: put a phone in airplane mode on a real job and try to open the job, add materials and take a photo.

Who owns Tradify and where is it based?

Tradify Limited is a New Zealand company with its registered office at 81 Union Street, Auckland Central, Auckland 1010. The terms define "Tradify" as "Tradify Limited and all current and future global subsidiaries of Tradify Limited". The public terms page also references The Access Group's standard terms and conditions and names Access Workspace Inc in Wilmington, Delaware as a regional entity, which points to a corporate parent relationship worth confirming directly. And for a North American buyer the practical consequence is jurisdictional: the terms are "governed by and construed in accordance with New Zealand law", disputes go to "the exclusive jurisdiction of the courts of New Zealand", and any dispute is referred to arbitration "in accordance with the Arbitration Rules of the Arbitrators' and Mediators' Institute of New Zealand".

Is Tradify's AI safe to use with customer data?

The November 2024 terms added an Acceptable Use Policy for the SmartTools AI features and it's unusually clear on the two questions that matter. You keep ownership: "You (a) retain all ownership rights in Input and (b) own all Output." And Tradify commits not to train on you: "We will not use Your Customer Content to develop or improve the Services." The definition names the underlying providers as "OpenAI, ChatGBT, Google Document Intelligence, SupaHuman" (the vendor's own spelling). But the clause to watch is commercial, not privacy: "We may also require You to upgrade Your subscription or pay additional fees to continue using the feature if Your usage exceeds typical levels", with "typical levels" left undefined and judged at Tradify's sole discretion.

Is Tradify better than ServiceM8 or Jobber?

It depends almost entirely on headcount. Tradify is per user; ServiceM8 sells flat-rate plans with unlimited users from $29/mo. At one or two seats Tradify is competitive and its guided onboarding is better than most. But at ten seats Tradify Plus is $610/month and the flat-rate competitor hasn't moved. And Jobber sits between the two, with banded user bundles (5 users on Connect at $199/mo month-to-month) that soften the per-seat curve and a much wider integration library. So where Tradify genuinely wins is the trial-stage human support: multiple reviewers describe being called during the free trial and offered setup sessions, which is rare at this price point.
